This Privacy Policy explains what information EDTECHRUN collects, how we use and protect it, who we share it with, and the choices and rights you have. It applies to our marketing website, the school onboarding process, and the EDTECHRUN school management platform used by schools, colleges and coaching institutes.


01Who We Are & Our Role

EDTECHRUN provides a platform that institutions use to run admissions, academics, fees, payroll and communication.

  • For school data (students, parents, staff and their records), the school is the data fiduciary (controller). It decides what is collected and why. EDTECHRUN processes that data only on the school's instructions to provide the service.
  • For our own website, onboarding and contact enquiries, EDTECHRUN is the data fiduciary.

If you are a student, parent or staff member of a school that uses EDTECHRUN, please contact your school first about your data.

02Data We Collect

When a school signs up (onboarding)

  • School name, institution type, preferred subdomain and approximate student count
  • Owner name, email address and phone number
  • Public support email and phone number
  • Postal address (street, city, state, country, PIN code)
  • School logo and banner images
  • Selected plan, billing cycle and requested features

When you contact us

  • Name, institute name, email, phone number, your role and your message
  • Your IP address, browser user-agent and the page you contacted us from, to prevent spam and route your request

Data schools add to the platform

  • User accounts: name, email, mobile number, password (stored only as a one-way hash), date of birth, gender, photo and address
  • Students: admission and roll number, class and section, date of birth, gender, photo, address, contact, documents and any custom fields the school defines
  • Parents and guardians: names, relationship, mobile numbers, email
  • Academic and activity records: attendance, timetables, exams and results, assignments and submissions, library issues and fines, leave requests, announcements and notifications

We do not collect device location. We never store card numbers, UPI PINs or net-banking credentials.

Technical data

  • IP address, browser user-agent, request logs and a record of security-relevant actions (audit log)
  • Session records needed to keep you signed in

03Children's Data

Many students are under 18. Their data is entered and controlled by their school, or by a parent or guardian during admission. Schools are responsible for obtaining verifiable parental consent where the law requires it. EDTECHRUN does not use children's data for advertising, profiling or behavioural tracking, and never sells it.

04Cookies

We use a small number of strictly necessary cookies and browser storage items. We do not use analytics, advertising or cross-site tracking cookies.

  • Preference storage remembers your settings, such as your theme, reading preferences, and language, primarily using your browser's local storage.

05How We Use Your Data

  • To provide the platform: accounts, admissions, fees, attendance, exams and tests, payroll, transport, library and communication
  • To send emails and messages that you or your school trigger, such as invitations, password resets, receipts and notices

We do not sell personal data and we do not use school data for advertising.

06Data Retention

  • School data is kept for as long as the school uses EDTECHRUN. When a school leaves, we delete or return its data on the school's request, except where the law requires us to keep it longer.
  • Onboarding and contact enquiries are kept as long as needed to respond and for our business records.

07Your Rights

Under India's Digital Personal Data Protection Act, 2023, you may have the right to:

  • access a summary of your personal data and how it is processed
  • correct, complete or update inaccurate data
  • request erasure of data that is no longer needed
  • withdraw consent where processing is based on consent
  • nominate another person to exercise your rights
  • raise a grievance

Students, parents and staff: please send requests to your school. School administrators can view, correct, or delete records directly in EDTECHRUN, and we help them fulfil your request. For data EDTECHRUN controls, contact us using the details below.
